Terms & Conditions Active
By booking with Hibachi Catering, you agree to the following terms and conditions.
1) Pricing & Fees
- Menu prices are per person and may change without notice.
- A 3% operations service charge applies to all reservations.
- Travel is billed at $3.00 per mile from ZIP 92591 to the event location (round-trip), measured by the shortest reasonable driving route.
- Stair handling is $4.00 per step when unloading/setup requires stairs.
- Sales tax applies to the total purchase.
2) Deposits & Payments
- A non-refundable deposit is required to reserve any date.
- The remaining balance is due 1 day prior to the event.
- Late balances may accrue 1.5% monthly interest (or the legal maximum).
- Returned payments/chargebacks incur a $35 administrative fee plus processor and collection costs.
3) Gratuity
- For parties of 20+ guests, an automatic 18% gratuity applies.
- For smaller events, a gratuity of 18–30% is customary and may be added upon request.
4) Scheduling & Setup
- Standard arrival is 30–60 minutes before the agreed start time.
- Optional early table setup is available at $100/hour when confirmed 3–4 days in advance.
- Client will provide level workspace, safe access/parking, and—if contracted—reasonable access to power and water.
5) Changes
- Changes within 48 hours of the event (start time, guest count, menu, table colors, etc.) incur a $50 same-day change fee.
- Due to staffing and fresh procurement, no changes can be accommodated within 8 hours of start time.
6) Cancellation & Reschedule
- Client may cancel and reschedule once to a future available date by emailing info@hibachicater.com with at least 15 calendar days’ notice.
- Reschedule credit is valid for 6 months from the cancellation date.
- Reservations made less than 3 days before the event are not eligible for cancellation/reschedule.
- Cancellations within 48 hours forfeit the minimum deposit.
7) Inclement Weather (Outdoor Events)
We do not cancel for weather. Client is responsible for accommodations such as tents/canopies or covered patios; cooking may occur under a garage/carport if space/ventilation allow; indoor relocation is permitted if safe. If full cancellation is necessary due to weather, notify us ≥15 days prior to remain eligible to reschedule.
8) Open Flame, Propane & Tents (California)
Client must secure all venue approvals and required permits for LP-gas/propane and any tents/canopies per local fire code/AHJ rules. Open-flame cooking is not permitted inside tents; clearances (often 20 ft) and other requirements apply. If the site is non-compliant, Caterer may decline service without refund.
9) Allergies & Cross-Contact
Client shall notify us ≥5 business days in advance of any allergies. Despite best practices, cross-contact may occur in shared environments. The Big-9 allergens include milk, egg, fish, Crustacean shellfish, tree nuts, peanuts, wheat, soybeans, and sesame. No allergen-free guarantee is provided; Caterer assumes no liability for reactions when notice is late or absent.
10) Food Safety & Leftovers
We maintain safe temperatures during service. After service ends, all leftover food becomes Client’s responsibility. Two-hour rule (or 1 hour if >90 °F) applies to perishables. Caterer is not responsible for food consumed after service or removed from temperature control.
11) Wait Time & Overtime
Delays not caused by Caterer are billable at $50 per chef per 30 minutes, subject to staff availability.
12) Damage, Clean-Up & Trash
We perform standard cleanup of our cooking/service area. Client is responsible for venue trash/recycling and any damage to property caused by guests, third-party vendors, or venue conditions.
13) Chef Unavailability / Substitution
We will use reasonable efforts to substitute if a scheduled chef is unavailable. If no replacement can be secured, the deposit attributable to that chef will be refunded.
14) Liability Cap & Indemnity
Caterer’s total liability for any claim shall not exceed the amounts paid by Client for the specific services giving rise to the claim. Caterer shall not be liable for incidental, consequential, or punitive damages. Client agrees to defend, indemnify, and hold harmless Caterer and its personnel from third-party claims arising out of Client’s venue, guests, or legal non-compliance.
Privacy Policy
Hibachi Catering values your privacy. We collect personal information (such as name, phone, email, event details, and payment information) solely for the purpose of processing reservations, providing services, and communicating with you.
We do not sell, rent, or share personal data with third parties, except as required to process payments, comply with legal obligations, or support event operations.
We implement commercially reasonable safeguards to protect your data; however, no method of transmission or storage is 100% secure.
